Bookka Assistant
Ask about your own business in plain words, and hand it the admin — with a confirmation before every change.
The Bookka Assistant is for you, not your customers. It reads your own bookings, revenue and customer history to answer questions, and — if you let it — carries out everyday admin on your say-so. It’s an Executive-plan feature. (The [AI booking chatbot](/docs/ai-booking-chatbot) is the separate, customer-facing one.)
Opening it
Press ⌘I anywhere in the dashboard, or use the assistant button in the header. It opens as a floating window you can drag, resize and maximise, and it follows you between pages without losing the conversation. For longer sessions, Dashboard → Assistant gives it a full page with your past conversations beside it.
What it can tell you
- Booking volumes and how they’re trending.
- Which services are booked most, and which earn most.
- Customer patterns — new, returning, and regulars who have stopped coming.
- How each team member is tracking.
- What’s on this week, and what’s waiting on you right now.
- Cancellation and no-show trends, and revenue over time.
What it can see depends on who you are. Owners and managers get the business-wide picture; a staff member gets their own schedule and their own pending items, and nothing else.
Letting it make changes
Out of the box the assistant can look but not touch. Turn on changes under Settings → Assistant and it can complete bookings, record a cash or in-store card payment, adjust stock levels, and draft social posts and email campaigns for you to review.
It cannot cancel bookings, issue refunds, or change anything to do with billing. There is no setting for that.
The assistant never has more authority than the person using it. If your role can’t do something in the dashboard, asking the assistant won’t do it either.
Confirming an action
Before anything changes, the assistant shows a Confirm card naming exactly what it’s about to do — which booking, which customer, how much. Nothing happens until you confirm it, and a card left unanswered counts as a decline.
The card is built from the instruction itself rather than from the assistant’s description of it, so what you approve is what runs.
Checking what it did
Everything the assistant carries out appears in your [audit log](/docs/managing-bookings) marked “via Bookka Assistant”, alongside the person who approved it. The Who filter has a “Via the assistant” option to show only its work.
Morning insights
Each morning at 7am in your business’s timezone, Bookka checks five things and raises a notification if any apply: bookings still pending, tomorrow looking unusually quiet, regulars who haven’t been back in eight weeks, tracked stock down to five or fewer, and completed work that’s still unpaid after two days.
These are fixed rules rather than AI, so they cost nothing to run and give the same answer for the same facts. Mute any of them individually under Settings → Assistant.
Credits & limits
The assistant draws on the same monthly AI credit as Bookka’s other AI tools — one shared pool rather than a meter per feature. A typical exchange costs around a cent, and the morning insights cost nothing.
You can set a separate monthly cap on the assistant specifically, from Settings → Assistant. It will never top your balance up on its own; when credit runs out it tells you and stops. There’s also a daily message limit per person to keep a stuck loop from draining the pool.
