Booking software for hair salons, where a colour is never just an hour

A full head of foils and a fringe trim are not the same booking, and a diary that treats them as one slot costs you a chair every afternoon. Bookka prices and times each service properly, holds the long ones with a deposit, and keeps the formula where the whole team can read it.

What hair salons put up with

If none of these are your week, you probably do not need us.

  • One slot length for everything, so a balayage and a dry cut take the same hour in the book and the day runs two behind by lunchtime.
  • A colour formula in one stylist’s notebook — so when she is away, the client is re-patch-tested and the shade is guessed at.
  • Three-hour colour appointments lost to no-shows, with nothing taken up front and no way to charge for the empty chair.
  • Chair renters working their own clients at their own prices out of a calendar that was never built for them.
  • Retail sitting on the shelf because the till and the booking system are two machines that never agree.
  • Marketplace platforms taking a cut of every new client who finds you, for as long as that client keeps coming back.

What changes

Each one is a thing the product does today, not a thing on a roadmap.

Every service its own length and price

One service, with short, medium and long as options that move the duration and the price together — so the menu reads “from $95” and the booking takes the time it actually takes. Add-ons like a toner or a treatment extend the appointment rather than quietly overrunning it.

The jobs you have to see first stay quotes

A colour correction cannot be priced from a photo. Those arrive as a quote request rather than a booking, so the client gets a real number and you do not inherit a four-hour job booked as a two-hour one.

The formula travels with the client, not the stylist

Private notes and tags on each client record — formula, developer, patch test date, the fact she hates a round brush. Visible to your team, never to the client, and still there on the day the person who wrote them is off.

Deposits, and a cancellation window they agreed to

Take a deposit per service at the time of booking, with the balance due on the day. The client sees the amount and the cancellation window before they pay, and a cancellation inside the window refunds itself without you having to be the bad guy.

Chair renters as a first-class case

Each person gets their own services, prices, hours and calendar, with roles deciding who can see whose numbers. A supported arrangement on the Executive plan, not a workaround built out of shared logins.

One till for the colour and the shampoo

Ring up the service and the retail together at the counter, on cash, card or a WisePOS E terminal. Bookka takes nothing on an in-person payment — only Stripe’s own rate applies — and the money lands in your own Stripe account.

What you get

Everything a salon runs on, in one place

Instead of a booking app, a card machine, a mailing list, a loyalty card and a notebook of formulas that never quite agree with each other.

Fill the book

Bookings arrive while your hands are in someone’s hair, and at eleven at night.

Online booking, on your page and in the marketplace. Your own booking link plus a profile customers can find by service and suburb. You choose whether bookings confirm instantly or wait for your approval.

A calendar per person. Every team member has their own services, hours and schedule, with roles deciding who sees what. Chair renters and multi-location shops are handled as first-class cases, not workarounds.

Services with options, add-ons and quotes. Length variants that change the price, add-ons that extend the appointment, and a quote request for the jobs that have to be seen before they can be priced.

Get paid

The deposit on the colour, the balance on the day, and the retail on the way out.

Deposits and cancellation policies. Take a per-service deposit at the time of booking, with the balance due on the day. The customer sees the amount and the cancellation window before they pay, and a cancellation inside the window refunds itself.

A point of sale for walk-ins. Ring up services and retail at the counter, take cash or card, or use a WisePOS E terminal. Bookka charges no fee on an in-person payment — only Stripe’s own terminal rate applies, and cash costs nothing.

Gift cards and an online shop. Sell gift cards and products from your booking page, with pickup or post, and refunds and fulfilment tracked in the same place as your appointments.

Bring people back

A six-week client who drifts to nine is the whole year’s difference.

Reminders by SMS and email. A confirmation immediately and a reminder before the day, sent automatically. No-shows are mostly a memory problem, and this is the fix for it.

Bookka Rewards. Points for what people spend or stamps for turning up, redeemed against a catalogue you set. Rewards come off the bill at the till and in the shop.

Campaigns, social and ads. Email and SMS campaigns with single-use promo codes, a scheduler that publishes to Instagram, Facebook and TikTok, and a manager for Google and Meta ads.

Run the place

The admin that happens whether or not you have software for it.

Numbers you can act on. Revenue, bookings, your best services and the regulars who have quietly stopped coming — with exports and custom reports when you need to look properly.

An assistant that does the admin. Ask it about your own figures in plain English. Turn on changes and it will complete bookings, record cash, adjust stock and draft campaigns — confirming before each one and logging every change. It cannot cancel bookings, refund anyone or touch billing.

Xero, and the rest of your stack. Native accounting sync with accounts provisioned on connect, calendar sync so your own diary stays right, and Stripe underneath all of it.

Everything hair salons need, in one tool

All of it on every paid plan unless the card says otherwise. Where something is limited by plan, the pricing below says so rather than this list hedging each line.

  • A calendar per stylist

Every stylist has their own services, hours and schedule. Roles decide who sees the whole book and who sees only their own column.

  • Length and thickness as options

Short, medium and long on one service, each with its own duration and price, shown on your page as “from $95” so nobody is surprised at the basin.

  • Add-ons that extend the booking

A toner, a treatment or a blow-wave added at the time of booking, each adding its own minutes to the appointment rather than to your afternoon.

  • Quote requests for colour corrections

The jobs that have to be seen before they can be priced come in as an enquiry you answer with a real quote, instead of as a booking at the wrong length.

  • Deposits on the long appointments

Set a deposit per service, so the half-day colours are held and the quick trims are not made awkward by one.

  • A cancellation window that enforces itself

The policy is shown before payment and applied automatically. Inside the window the refund happens on its own; outside it, the deposit is yours.

  • Private notes and tags per client

Formulas, patch test dates, sensitivities and preferences on the client’s record — private to the business, readable by whoever has the chair today.

  • SMS and email reminders

A confirmation straight away and a reminder before the day, both automatic. No-shows are mostly a memory problem, and this is most of the fix.

  • Retail at the counter, 0% from us

A point of sale for walk-ins and product, taking cash, card or terminal. Bookka takes nothing on an in-person payment, and cash costs nothing at all.

  • Gift cards and an online shop

Sell vouchers and take-home product from your booking page, with pickup or post, and keep refunds and fulfilment beside the appointments.

  • The regulars who quietly stopped coming

Your numbers show revenue, your best services and the clients who have not rebooked — then campaigns with single-use promo codes to bring them back.

  • Your own page, and no commission on it

A booking link that is yours, plus a marketplace profile clients find by service and suburb. Bookka takes no cut of either, on any plan.

Booking software for hair salons, answered

Still curious? Get in touch — we reply fast.

Yes. A service can carry mutually exclusive options — short, medium, long, or whatever you call them — and each one sets its own price and its own duration. Your booking page shows the service as “from” the lowest price, and the client picks their length as they book, so the slot in your calendar is already the right length before anyone arrives.

Put a deposit on the services where a no-show actually hurts. Bookka takes it at the time of booking with the balance due on the day, and the client sees both the amount and your cancellation window before they pay. Cancel inside the window and the refund is automatic; outside it, you keep the deposit. Reminders by SMS and email go out on their own, which is what removes most no-shows before the policy ever has to.

Yes. Every team member has their own service list, working hours and calendar, and roles control who sees what. A senior stylist can charge more for the same service, and a client booking online is only offered the people who actually do the service they picked.

Yes, on the Executive plan, which supports chair rental properly rather than by sharing a login. Each renter runs their own services, prices, hours and clients inside your salon, and permissions keep their numbers separate from everyone else’s.

On the client’s record, as notes and tags that belong to the business. They are private — a client never sees them — and they are not tied to the stylist who wrote them, so the record still works on the day that stylist is away. Bookka does not have consultation forms or stored client photos; if your salon runs on formal consultation records with before-and-after images, that is a real gap, and a platform like Timely is deeper on it.

No. They book in a browser, from your own booking link or your profile in the Bookka marketplace, and their confirmation and reminder arrive by SMS and email. Nothing to install, and no account to create before they can book.

Yes. Retail sells at the counter through the point of sale and online through your shop, with pickup or post, and gift cards sell straight from your booking page. Stock, refunds and fulfilment sit alongside the appointments rather than in a second system you reconcile at the end of the month.

No commission, on any plan, including clients who find you through the marketplace. There is a free plan for five bookings a month, then Business at $39 a month for up to five people and Executive at $69 for up to twenty, with extra staff at $14.95 and extra locations at $19.95. Online card payments cost 2.2% + 30c, all in and GST inclusive on Australian cards. In person Bookka takes nothing at all — you pay only Stripe’s own rate — and cash, your own EFTPOS machine and a gift card being redeemed cost nothing. Everything settles into your own Stripe account rather than ours.
