Booking software for day spas, where the room and the therapist both have to be free

A spa booking is two scarce things at once: someone to do the treatment and somewhere to do it. Bookka schedules by therapist so the people never double-book, keeps the vouchers that fill your December on a balance rather than a card, and takes the deposit before a two-hour room goes quiet.

  • No commissionon any booking, on any plan

What day spas put up with

If none of these are your week, you probably do not need us.

  • Two therapists free and only one of the rooms they need, discovered after both bookings were taken.
  • Paper gift vouchers sold at Christmas, redeemed in July, and reconciled by guesswork in between.
  • Couples bookings built by hand out of two separate appointments that then drift apart.
  • A two-hour package booked at the length of the massage it starts with.
  • Guests arriving with no idea they were meant to be there twenty minutes early.
  • Reception taking bookings by phone all day because the website only has a contact form.

What changes

Each one is a thing the product does today, not a thing on a roadmap.

The people never double-book

Every therapist has her own calendar, services and hours, so two treatments can never be promised to the same pair of hands. Rooms are managed by how you set those calendars up rather than as a separate resource — which works well for a spa whose rooms and therapists line up, and needs thought where they do not.

Vouchers with a balance, not a signature

Gift cards sell from your booking page, redeem against a treatment or at the counter, and carry their remaining value with them. The December rush stops becoming a July reconciliation problem.

Longer treatments carry a deposit

Set per service, so a two-hour ritual is held and a thirty-minute add-on is not. The cancellation window is shown to the guest before payment and applied automatically afterwards.

Arrival instructions sent to everyone

Written onto the service — arrive twenty minutes early, what to bring, where to park — so every confirmation carries it rather than reception repeating it on the phone.

Treatments timed as the whole appointment

A ritual that is a scrub, a massage and a facial is booked for all of it, with add-ons each contributing their own minutes rather than quietly overrunning into the next guest.

Reception stops being the booking system

Your own page takes bookings around the clock, confirming instantly or waiting for approval, and a marketplace profile brings people who were not already looking for you.

What you get

Everything a day spa runs on, in one place

Instead of a diary on the desk, a card machine, a drawer of paper vouchers and a phone that rings through every treatment.

Fill the book

Bookings arrive while the rooms are full, and at eleven at night.

Online booking, on your page and in the marketplace. Your own booking link plus a profile customers can find by service and suburb. You choose whether bookings confirm instantly or wait for your approval.

A calendar per person. Every team member has their own services, hours and schedule, with roles deciding who sees what. Chair renters and multi-location shops are handled as first-class cases, not workarounds.

Services with options, add-ons and quotes. Length variants that change the price, add-ons that extend the appointment, and a quote request for the jobs that have to be seen before they can be priced.

Get paid

The deposit on the ritual, the balance at the desk, and the voucher for someone else.

Deposits and cancellation policies. Take a per-service deposit at the time of booking, with the balance due on the day. The customer sees the amount and the cancellation window before they pay, and a cancellation inside the window refunds itself.

A point of sale for walk-ins. Ring up services and retail at the counter, take cash or card, or use a WisePOS E terminal. Bookka charges no fee on an in-person payment — only Stripe’s own terminal rate applies, and cash costs nothing.

Gift cards and an online shop. Sell gift cards and products from your booking page, with pickup or post, and refunds and fulfilment tracked in the same place as your appointments.

Bring people back

A guest who came once for a birthday is the one worth bringing back.

Reminders by SMS and email. A confirmation immediately and a reminder before the day, sent automatically. No-shows are mostly a memory problem, and this is the fix for it.

Bookka Rewards. Points for what people spend or stamps for turning up, redeemed against a catalogue you set. Rewards come off the bill at the till and in the shop.

Campaigns, social and ads. Email and SMS campaigns with single-use promo codes, a scheduler that publishes to Instagram, Facebook and TikTok, and a manager for Google and Meta ads.

Run the place

The admin that happens whether or not you have software for it.

Numbers you can act on. Revenue, bookings, your best services and the regulars who have quietly stopped coming — with exports and custom reports when you need to look properly.

An assistant that does the admin. Ask it about your own figures in plain English. Turn on changes and it will complete bookings, record cash, adjust stock and draft campaigns — confirming before each one and logging every change. It cannot cancel bookings, refund anyone or touch billing.

Xero, and the rest of your stack. Native accounting sync with accounts provisioned on connect, calendar sync so your own diary stays right, and Stripe underneath all of it.

Everything day spas need, in one tool

All of it on every paid plan unless the card says otherwise. Where something is limited by plan, the pricing below says so rather than this list hedging each line.

  • A calendar per therapist

Her own treatments, hours and schedule, so the people in the building are never promised twice.

  • Rituals booked as one appointment

A multi-part treatment holds the whole block of time rather than the length of its first component.

  • Add-ons that extend the booking

A scalp massage, a foot ritual or an extra fifteen minutes, each adding its own time when the guest chooses it.

  • Gift cards with a tracked balance

Sold online and at the desk, redeemable against treatments or retail, with the remaining value followed rather than estimated.

  • Deposits on the long bookings

Chosen treatment by treatment, so the half-day experiences are protected without a quick add-on needing one.

  • Arrival and preparation notes

Attached to the treatment and sent in every confirmation, so nobody arrives at the start time expecting to begin at the start time.

  • Guest notes and preferences

Pressure, allergies, what she had last time and what she asked never to have again — private to the spa, readable before she is on the table.

  • Automatic reminders

By SMS and email at booking and before the day, which does most of the work a reception call used to do.

  • Retail at the desk, 0% from Bookka

Product rings up against the same booking on cash, card or terminal, with no Bookka fee at all — only Stripe’s own rate, and nothing on cash.

  • Points or stamps for regulars

Bookka Rewards against a catalogue you set, coming off the bill at the counter instead of a card in a purse.

  • Two locations on Executive

A second site included, each with its own team, hours and calendar, and more beyond that at $19.95 a month.

  • Campaigns for the quiet weeks

Email and SMS with single-use promo codes, aimed at the guests your reporting shows have not been back.

Booking software for day spas, answered

Still curious? Get in touch — we reply fast.

Not directly, and this is the limitation to weigh first. Bookka schedules by team member, not by room — availability comes from each therapist’s hours and existing bookings. Where your rooms and therapists line up one-to-one, modelling each room as a team member works cleanly. Where you have five therapists sharing three rooms and any treatment can go in any of them, Bookka has no resource layer to prevent the clash, and you would be managing it at reception.

They are proper gift cards rather than printed paper. A guest buys one from your booking page, the recipient redeems it against a booking or at the counter, and the remaining balance is tracked. Refunds and the card’s history sit with your appointments. For a spa where vouchers are a serious share of December, the difference between a tracked balance and a signed card is most of the admin.

As two bookings at the same time against two therapists, which is what it is operationally. What Bookka does not have is a single couples booking that keeps the two in step automatically, so if one is moved the other has to be moved too. Worth knowing before you commit if couples work is a big part of your menu.

Put it on the treatment. Arrival time, what to bring, parking, what to expect — it goes out in every confirmation for that service automatically, and the reminder before the day repeats it. That removes most of the calls reception currently makes and most of the guests who arrive flustered at the exact start time.

A multi-part ritual can be a single service with the full duration and price, which covers most of what spas mean by a package on the day. What does not exist is a prepaid package or membership a guest buys and draws sessions from over months. Gift cards are the nearest equivalent. If recurring memberships are central, that is a real gap.

Yes. The Executive plan includes two locations, each with its own team, hours, services and calendar, and further locations are $19.95 a month. Staff can be scoped to a site, and roles decide who sees the numbers for one location or all of them.

No. They book in a browser from your own link or your marketplace profile, and confirmations and reminders come by SMS and email. For a spa, where a lot of bookings are gifts and one-offs rather than regulars, not asking anyone to create an account first matters.

No commission on bookings, on any plan, including guests who find you through the marketplace. A free plan covers five bookings a month, then Business is $39 for up to five people and Executive $69 for up to twenty across two locations. Online card payments cost 2.2% + 30c, all in and GST inclusive on Australian cards. In person Bookka takes nothing at all — you pay only Stripe’s own rate — and cash, your own EFTPOS machine and a gift card being redeemed cost nothing. Everything settles into your own Stripe account rather than ours.
