Booking software for professional services, where the first meeting decides the work
Consultants, advisers and agencies sell time and advice, and almost all of it starts with one conversation that has to be arranged before anything can be quoted. Bookka puts that first meeting on a page people can book, turns what comes next into a quote, and invoices it without a second system.

- 0% in persononly Stripe’s own rate applies
What professional services put up with
If none of these are your week, you probably do not need us.
- Four emails to arrange one half-hour call, across two diaries and a time zone.
- Scope agreed verbally on that call and then remembered differently by both sides.
- Quotes written in a document, emailed, and then chased for a fortnight.
- Invoices raised somewhere else entirely, so what was quoted and what was billed never quite line up.
- An initial consultation given away free, repeatedly, to people who were never going to proceed.
- Every client record living in an inbox, searchable only by remembering who said what.
What changes
Each one is a thing the product does today, not a thing on a roadmap.
The first meeting books itself
Publish a consultation as its own service with its own length and price, and let people take a time from your actual availability. The four-email negotiation stops, and so does the back-and-forth about what the meeting is.
Work that needs scoping becomes a quote
Anything that cannot be priced from a menu arrives as a quote request. You answer with a figure and what it covers, and it is accepted in writing rather than agreed on a call and misremembered later.
A paid consultation filters properly
Charging for the first meeting — even modestly — is a service setting rather than a conversation, and it changes who books. Take the fee at the time of booking or a deposit against it.
Quoting and invoicing in one place
The quote, the booking and the payment live together, so what you agreed and what you billed are the same record rather than two systems you reconcile.
Client history where you can find it
Notes and tags on each client, private to the business, so the context from eight months ago is on their record rather than somewhere in an email thread.
Your books, into Xero
Native accounting sync on the Executive plan, with accounts provisioned when you connect, so the bookkeeping is not a monthly export.
Everything a practice runs on, in one place
Instead of a calendar invite, a proposal document, an invoicing tool, an inbox used as a CRM and a spreadsheet keeping score.
Fill the book
Enquiries arrive while you are in a meeting, and at eleven at night.
A calendar per person. Every team member has their own services, hours and schedule, with roles deciding who sees what. Chair renters and multi-location shops are handled as first-class cases, not workarounds.
Services with options, add-ons and quotes. Length variants that change the price, add-ons that extend the appointment, and a quote request for the jobs that have to be seen before they can be priced.
Get paid
Paid when the meeting is booked, or invoiced against what was quoted.
Deposits and cancellation policies. Take a per-service deposit at the time of booking, with the balance due on the day. The customer sees the amount and the cancellation window before they pay, and a cancellation inside the window refunds itself.
A point of sale for walk-ins. Ring up services and retail at the counter, take cash or card, or use a WisePOS E terminal. Bookka charges no fee on an in-person payment — only Stripe’s own terminal rate applies, and cash costs nothing.
Gift cards and an online shop. Sell gift cards and products from your booking page, with pickup or post, and refunds and fulfilment tracked in the same place as your appointments.
Bring people back
The client who came back is worth more than the one you had to win.
Reminders by SMS and email. A confirmation immediately and a reminder before the day, sent automatically. No-shows are mostly a memory problem, and this is the fix for it.
Bookka Rewards. Points for what people spend or stamps for turning up, redeemed against a catalogue you set. Rewards come off the bill at the till and in the shop.
Campaigns, social and ads. Email and SMS campaigns with single-use promo codes, a scheduler that publishes to Instagram, Facebook and TikTok, and a manager for Google and Meta ads.
Run the place
The admin that happens whether or not you have software for it.
Numbers you can act on. Revenue, bookings, your best services and the regulars who have quietly stopped coming — with exports and custom reports when you need to look properly.
An assistant that does the admin. Ask it about your own figures in plain English. Turn on changes and it will complete bookings, record cash, adjust stock and draft campaigns — confirming before each one and logging every change. It cannot cancel bookings, refund anyone or touch billing.
Xero, and the rest of your stack. Native accounting sync with accounts provisioned on connect, calendar sync so your own diary stays right, and Stripe underneath all of it.
Everything professional services need, in one tool
All of it on every paid plan unless the card says otherwise. Where something is limited by plan, the pricing below says so rather than this list hedging each line.
Consultations on a bookable page
Your real availability published as times people can take, with instant confirmation or your approval first.
Quote requests for scoped work
Anything that needs understanding before it can be priced comes in as an enquiry you answer with a proper figure.
Paid first meetings
Charge for the initial consultation, or take a deposit against it, set per service rather than as a blanket rule.
Session lengths that differ
A fifteen-minute intro, a one-hour review and a half-day workshop as options or services with their own prices and durations.
A cancellation window that holds
Shown before payment and applied automatically, which for billable time is the difference between a policy and a wish.
Client notes and tags
Context, history and what was agreed, private to the practice and attached to the person rather than to an email thread.
Several advisers, one availability
Each with their own services, rates, hours and clients, and roles deciding who can see the firm’s whole diary.
Calendar sync both ways
Your own diary stays correct, so a client cannot book a slot you have already given to something else.
Xero on the Executive plan
Accounting sync with the accounts provisioned on connect, so what you billed arrives where your accountant looks.
Reporting you can act on
Revenue, which services earn, and the clients who have not been back, with exports and custom reports on Executive.
Email campaigns to your list
With single-use promo codes and business-scoped unsubscribe, for the clients your reporting says have gone quiet.
No commission, on any plan
Your own booking page and a marketplace profile, with Bookka taking no percentage of what you charge.
One flat price, not one per chair
No commission on any plan, including clients who find you through the marketplace. Paid plans start with a 14-day trial.

Partly, and it is worth being precise. You get a client record with history, notes and tags, and everything they have booked and paid. What you do not get is a sales pipeline with stages, deal values, forecasting or email threading against a contact. If you want to manage a funnel, Bookka is not that. If you want the people who book you to stop living in your inbox, it is.
Yes, and it is set per service rather than as a global rule, so you can charge for a strategy session and leave a fifteen-minute intro free. Payment is taken at the time of booking, which does more than collect the fee — a paid first meeting changes who books one, which is usually the actual problem.
Work that cannot be priced from a menu comes in as a quote request with whatever the client tells you up front. You reply with a figure and what it covers, and they accept it. It keeps what was agreed in one place rather than in a document attached to an email, which is where scope disputes usually begin.
Yes, provided your other commitments are visible to it. Calendar sync keeps your own diary and Bookka in step, so a slot you have given to something else is not offered. Without sync, Bookka only knows about the bookings it holds, and anything in another calendar is invisible to it.
Bookings and payments are recorded against the client, and the Executive plan syncs natively to Xero with the accounts provisioned when you connect. What Bookka is not is a full accounts-receivable system with payment terms, statements and dunning — for a practice billing on thirty-day terms against progress claims, you will still want your accounting package doing that part.
Yes. Each adviser has their own services, rates, hours, calendar and clients, and roles control who can see the firm’s whole diary and numbers. Business covers up to five people and Executive up to twenty, with extra staff at $14.95 a month and a second location included on Executive.
Bookings are shown in your business’s time zone, with hours and availability set against it. For a practice working across Australian states that is usually enough. If most of your clients are overseas and you need each to see their own local time with confidence, test that carefully before committing.
No commission on bookings, on any plan, including clients who find you through the marketplace. Free for five bookings a month, then Business at $39 a month for up to five people and Executive at $69 for up to twenty, with Xero sync, exports and custom reports on Executive. Online card payments cost 2.2% + 30c, all in and GST inclusive on Australian cards. In person Bookka takes nothing at all — you pay only Stripe’s own rate — and cash, your own EFTPOS machine and a gift card being redeemed cost nothing. Everything settles into your own Stripe account rather than ours.
